Run the Delinquency / outstanding rent report

To see who’s behind on rent and how overdue they are, run the A/R Aging Report. It lists outstanding charges by property and tenant and sorts each balance into aging buckets — Current, 30, 60, 90, and 120+ days — so you can spot delinquencies at a glance and prioritize collections.

When to use it

  • Your regular collections review: who owes, how much, and how late.
  • Deciding who to send a reminder or late notice to.
  • Month-end accounts-receivable reporting.

Before you start

  • None. The report reads the charges and payments you’ve already recorded. Balances reflect charges still outstanding as of the date you choose.

Steps

  1. In the left sidebar, click Reports.
  2. Under Leases & Tenants, click A/R Aging Report.
  3. In the Property dropdown, choose a property, or choose All for your whole portfolio.
  4. Set the As of Date — the date you want balances aged against. It defaults to today. Ageing is measured from this date, so picking a past date shows what the aging looked like back then.
  5. (Optional) Adjust the filters to widen or narrow the report:
    • Lease StatusActive (default), Terminated, Future, or All. Switch to All (or Terminated) when you’re chasing balances on leases that have ended.
    • Tenant StatusActive (default), Inactive, Potential, or All.
    • Include zero-balance tenants — tick this to also list tenants who owe nothing. Useful when you want a complete roster rather than only the people who are behind.
  6. Click Submit.

What you’ll see

The report shows one row per tenant (and receivable type), with the outstanding balance split into aging columns:

  • Current — 30 days old or less (not yet truly past due).
  • Over 30, Over 60, Over 90 — progressively older balances.
  • Over 120 — anything more than 120 days past due. Balances drifting into these columns are the ones to act on first.
  • Balance — the total still owed, across all buckets.

It also shows each tenant’s last payment amount and date, so you can tell who has stopped paying entirely versus who is only partially behind.

Tips

  • Use the Download PDF button on the results page to produce a dated, printable A/R Aging report (named with your company and the as-of date) that’s easy to file, email, or share with an owner.
  • To chase balances on terminated leases, switch Lease Status to All (or Terminated) and confirm the As of Date covers the period you care about.
  • For the single total each tenant owes without the aging breakdown, the Rent Roll and the Tenants Report also show balances owed. For a full line-by-line history on one lease, use the Tenant Statement.
