Run the Vendor Summary (for 1099s)

The Vendor Report lists your vendors with their contact details, status, and the balance you owe them. It’s the report to pull when you’re gathering vendor information at tax time — for example, to prepare 1099s for contractors — or any time you want a clean roster of who you work with and what’s outstanding.

When to use it

  • Tax season: collecting contractor names and mailing addresses for 1099s.
  • A quick check of which vendors you still owe, and how much.
  • Keeping a current address book of the vendors you work with.

Before you start

  • None. The report reads the vendors and bills you’ve already entered. Keeping each vendor’s mailing address current is what makes this report (and any checks you print) accurate.

Steps

  1. In the left sidebar, click Reports.
  2. Under Payables & Vendors, click Vendor Report.
  3. In the Status dropdown, choose which vendors to include:
    • Active — vendors you currently work with.
    • Inactive — vendors you’ve marked inactive (kept for history).
    • All — every vendor, active or not.
  4. Click Submit.

What you’ll see

The report lists each vendor with:

  • Name and full mailing address — the contact details you’d use on a 1099 or a check.
  • Status — Active or Inactive.
  • Balance owed — the total of any unpaid bills for that vendor.

You can sort and search the table to find a specific vendor.

Tips

  • For 1099 preparation, this report gives you the vendor’s name and mailing address. To total what you actually paid a vendor during the year (the dollar figure a 1099 reports), run the Bill Report (also under Payables & Vendors) and filter to the vendor and the tax-year date range — the Vendor Report shows what’s outstanding, not what was paid.
  • Keep vendor addresses current in each vendor’s record so this report — and any checks you print — stay accurate.
  • A Bank Report under the same category lists your bank accounts and their activity, which can help when you’re reconciling what was paid out.
  • To print or save, use your browser’s print command (Ctrl+P / Cmd+P) once the results are on screen.
