Run the Rent Roll

The Rent Roll lists your leases with their tenants, rent amounts, lease dates, status, and balance owed. It’s the standard one-page answer to “who is renting what, for how much, and are they current?” — the report owners and lenders most often ask for, and a handy occupancy snapshot for your own review.

When to use it

  • A quick occupancy and rent summary for one property, one owner’s portfolio, or everything at once.
  • Reporting to an owner on which of their units are leased and at what rent.
  • A starting point for collections — the balance-owed column flags leases that aren’t current.

Before you start

  • None. The Rent Roll reads your existing leases, tenants, and charges. Keeping lease start/end dates and rent amounts current is what keeps it accurate.

Steps

  1. In the left sidebar, click Reports.
  2. Under Leases & Tenants, click Rent Roll Report.
  3. In the Owner dropdown, choose an owner, or choose All to include every owner’s properties. Picking an owner first is the easy way to produce a rent roll for just that owner’s portfolio.
  4. In the Property dropdown, choose a property, or leave it set to include all properties for the selected owner. The property list updates based on the owner you picked, so you only see that owner’s properties.
  5. Click Submit.

What you’ll see

The report shows one row per lease, with:

  • Property and Unit — where the lease is.
  • Tenant(s) — who’s on the lease (co-tenants are included).
  • Lease start and end dates — the term of the lease.
  • Lease statusActive (current), Future (starts later), or Terminated (ended).
  • Rent amount — the recurring rent on that lease.
  • Balance owed — what’s still outstanding on that lease right now.

You can sort the table by any column and search it to jump to a specific property or tenant.

Tips

  • Choosing an Owner first, then a property, is the fastest path when you manage properties for multiple owners and want a rent roll for just one owner.
  • The balance owed column reflects charges that are still outstanding on each lease, as a single total. For an aged breakdown of what’s overdue (Current, 30, 60, 90, 120+ days) and last-payment details, run the Delinquency / A/R Aging report instead.
  • For a full statement of account on one lease — every charge and payment with a running balance, ready to hand to a tenant — use the Tenant Statement.
  • To print or save, use your browser’s print command (Ctrl+P / Cmd+P) once the results are on screen.
