View email delivery reports
TenantLedger keeps a record of the emails it sends on your behalf — invoices, statements, portal invites, and more — so you can confirm whether a message was delivered, opened, clicked, or failed. There are two views: a summary per email (Outbound) and a line-by-line event log (Events).
When to use it
- A tenant says they never received an email and you need to check whether it actually went out and was delivered.
- Confirming that a statement or invite was opened.
- Diagnosing a bad or full mailbox so you know to update an address and resend.
Before you start
- None. These reports show emails TenantLedger has already sent for your account — there’s nothing to enable.
Steps
See sent emails and their open/click stats (Outbound)
- In the left sidebar, click Reports.
- Under Communications, click Email Outbound Report.
- (Optional) Adjust the filters at the top, then the grid updates to match:
- Date Range — the window of sent emails to show; defaults to the last 7 days. Widen it to look further back.
- Email Type — narrow to a specific kind of email (for example, statement, invoice, or portal invite).
- Delivery Status — narrow to a status such as Delivered or Failed.
See individual delivery events (Events)
- In the left sidebar, click Reports.
- Under Communications, click Email Events Report.
- (Optional) Filter by Date Range, Email Type, and event type.
What you’ll see
- Email Outbound Report shows one row per email sent, with aggregated stats: how many times it was delivered, opened, and clicked, whether it failed, and the first and last opened dates. Click an email to see more detail. This is the view to start with — it answers “did this email go out, and was it opened?”
- Email Events Report shows one row per event — each send, delivery, open, click, or failure appears as its own line item, giving you a precise timeline. Use this when you need the exact sequence of what happened and when, rather than a per-email summary.
All dates are shown in your company’s time zone.
Tips
- If a tenant says they never got an email, check the Email Outbound Report for that email type and date. A failed or bounced status tells you the message didn’t reach them (often a bad or full mailbox), so you can confirm the address and resend. A delivered status with no opens usually means it arrived but went unread (or landed in spam).
- The contents of sensitive emails — such as portal password and sign-up messages — are hidden for security, even though their delivery status is still tracked. You can confirm delivery without seeing the private contents.
- Start with Outbound for the quick answer; drop into Events only when you need the full event-by-event timeline.
