Delete a vendor

What this is

Deleting a vendor removes them from your active Vendors list. This is a soft delete — the vendor is hidden from your lists and dropdowns, but their underlying history is preserved.

To protect your records, the app blocks a vendor delete while the vendor is still tied to any bill, bill payment, or work order. You’ll need to clear those first.

When to use it: Delete a vendor you added by mistake or one you’ve never recorded any activity for. For a vendor you’ve stopped using but who has past bills, set their Status to Inactive instead — see Edit a vendor — so their expense history stays intact.

What blocks this delete

A vendor cannot be deleted while any of the following are true:

  • The vendor is the payee on one or more bills.
  • The vendor has one or more bill payments (payments made against their bills).
  • The vendor is assigned to one or more work orders.

Remove them in this order before deleting the vendor:

  1. Delete the bill payments for this vendor’s bills.
  2. Delete the bills for this vendor.
  3. Delete or reassign the work orders for this vendor.
  4. Then delete the vendor.

If you try to delete a vendor who still has any of these, you’ll see a warning like:

Cannot Delete Vendor — You cannot delete this vendor. This vendor has associated records (bills, payments, or work orders) that must be deleted first. Contact support for any questions.

Steps

  1. In the left sidebar, click Vendors, then click View on the vendor to open their Summary page.
  2. Open the Action menu (top right) and choose Delete Vendor.
  3. A confirmation pop-up appears. Confirm to remove the vendor, or cancel to keep them.

What you’ll see

  • On success: the vendor disappears from your active Vendors list and you see a confirmation message.
  • If it’s blocked: the “Cannot Delete Vendor” warning pop-up appears (quoted above). Delete the vendor’s bill payments and bills, reassign or delete their work orders, then try the delete again.
