Edit a tenant

What this is

Editing a tenant lets you update their contact details, email addresses, receipt-email preferences, or status at any time. The tenant’s record stays the same — you’re just keeping their information current.

When to use it: Edit a tenant when their phone or email changes, when you want to turn the automatic charge/payment receipt emails on or off, when you need to add an email before enabling their portal, or when you want to move an applicant from Potential to Active after they sign a lease.

Before you start

Steps

  1. In the left sidebar, click Tenants, then click View on the tenant to open their Summary page.
  2. Open the Action menu (top right) and choose Edit Tenant.
  3. Change any of the fields you need:
    • First Name / Last Name — the tenant’s (or company’s) name.
    • Home Phone, Cell Phone — contact numbers.
    • Email and Alternative Email — primary and backup email. The primary email is the tenant’s portal login.
    • Address, Country / State / City, Zip Code — remember the location dropdowns cascade if you change the country.
    • StatusActive for current tenants or Potential for applicants.
    • Email Tenant Receipt of Charge / Email Tenant Receipt of Payment — turn the automatic receipt emails on or off.
  4. Click Save.

What you’ll see

After saving, you return to the tenant’s Summary page showing the updated details. If the tenant already has portal access and you change their primary email, their login email updates to match.

Tips

  • Move an applicant from Potential to Active once you sign their lease so they no longer appear on the Potential Tenants list.
  • Adding a primary email is the prerequisite for the Tenant Portal — do this first if it’s missing.
