Enable Owner Portal access for an owner

What this is

The Owner Portal is a secure, separate login where an owner can sign in and view information about the properties you manage for them — their properties, leases, and financials — without being able to change anything. When you turn on access, the owner is emailed an invitation containing their login (their email address) and a temporary password, plus a link to the sign-in page.

When to use it: Enable portal access when an owner wants self-serve visibility into their portfolio, so they can check on properties and financials on their own instead of asking you for updates. For exactly what the owner can see once they’re in, see What owners can see in the Owner Portal.

Before you start

The owner must already exist. See Add an owner.
The owner must have a valid email address on their record. The portal uses the email as the login and to send the invitation. If there’s no email, add one first by editing the owner.

Steps

In the left sidebar, click Owners, then click View on the owner to open their Summary page.
Click Add Owner to Portal.
The system creates the portal account, generates a temporary password, and emails the owner an invitation containing their login and a sign-in link.

What you’ll see

The button changes to Remove Owner From Portal, confirming access is now on. The owner receives an email with their sign-in details. If the owner has no email on file, you’ll instead see a message asking you to add a valid email address before enabling access — add the email by editing the owner, then try again.

Removing access

To turn off access, open the owner’s Summary page and click Remove Owner From Portal. The owner can no longer sign in, and the button changes back to Add Owner to Portal.

Tips

Ask the owner to check their spam or promotions folder if the invitation doesn’t arrive.
Owners should change their temporary password after their first sign-in.
