Enable Tenant Portal access for a tenant
What this is
The Tenant Portal is a secure, separate login where a tenant can view their leases and balances, pay rent online (when payment processing is set up for your account), and manage their saved bank accounts and cards. Enabling access emails the tenant an invitation with their username (their email address), a temporary password, and a link to the sign-in page.
When to use it: Enable portal access when you want a tenant to be able to see what they owe and pay online, rather than handling every charge and payment manually. It’s most useful for current (Active) tenants on a lease.
Before you start
- The tenant must already exist. See Add a tenant.
- The tenant must have a valid primary email on their record. It’s used as their login and for the invitation. If there’s no email, add one first by editing the tenant.
Steps
- In the left sidebar, click Tenants, then click View on the tenant to open their Summary page.
- Open the Action menu (top right) and choose Enable Tenant Portal.
- On the confirmation page, review the tenant’s name and Primary email, then click Enable tenant portal.
What you’ll see
You return to the tenant’s Summary page with a confirmation that the portal is enabled and that an email was sent to the tenant’s address. The tenant receives their username (their email), a temporary password, and a sign-in link.
If the tenant has no email on file, the Enable tenant portal button is disabled and you’re prompted to add a primary email first. Add the email by editing the tenant, then return here.
Sharing sign-in details manually
The Enable confirmation page also shows the portal sign-in page URL and the username, so you can copy and send these details yourself if needed. If the tenant doesn’t get the email, they can use Forgot password on the sign-in page to set their own.
Disabling access
To turn off access, open the tenant’s Summary page, open the Action menu, choose Disable Tenant Portal, and confirm. The tenant can no longer sign in.
Tips
- Tell tenants to check spam or promotions if the invitation doesn’t arrive, and to change the temporary password after their first sign-in.
- Online rent payments appear in the portal only when payment processing is configured for your account.
