Delete a deposit
You can remove a deposit batch you created by mistake or grouped wrong. To protect your records, the app blocks the deletion once the deposit has been reconciled.
What deleting a deposit does: it un-groups the batch. The payments that were inside it become undeposited funds again (they are not deleted), and the deposit total is removed from the bank balance. You can then re-group those payments into a new, correct deposit.
Deleting is different from reversing. Delete a deposit to undo a grouping mistake. Reverse a payment when a tenant’s check bounces or is returned — that puts the charge back as unpaid and optionally adds a fee, while keeping a full record. See Reverse a deposit.
Before you start
- Deleting is a soft delete: the deposit record is hidden, but the underlying history is preserved, and the payments inside it stay in your books as undeposited funds.
What blocks this delete
The app will not delete a deposit that has been reconciled (included in a saved bank reconciliation). If you try, the delete is stopped and you’ll see:
“This deposit cannot be deleted because it has been reconciled. You must delete the reconciliation first before deleting this deposit.”
What to remove first, in order:
- Delete (or detach via Unreconcile) the reconciliation that includes this deposit. See Undo or delete a reconciliation.
- Once the deposit is no longer reconciled, delete it.
A deposit that has not been reconciled can be deleted right away.
Steps
- In the left sidebar, click Banking and open the bank account, then open the deposit to its Summary page. (You can also open the deposit’s Summary directly from a transaction that links to it.)
- Open the Action menu (top right) and choose Delete Deposit.
- In the confirmation pop-up, click DELETE.
What you’ll see
If the deposit isn’t reconciled, it’s removed, the bank balance drops by the deposit total, and the payments it contained return to your undeposited-funds list. If the deposit is reconciled, the page shows a message that you must delete the reconciliation first — nothing is deleted until you do.
Tips
- Because deleting a deposit just un-groups it, it’s the right tool when you simply batched payments incorrectly. Re-create the deposit with the correct payments afterward. See Create a deposit batch.
