Delete a work order

You can remove a work order you created by mistake or no longer need. To protect your records, the app blocks the deletion when a bill is linked to the work order (or when assets are attached to it).

Before you start

  • Deleting is a soft delete: the work order is hidden from your active lists, but the underlying history is preserved.
  • If you just want it off your open list, mark it complete instead — that keeps your maintenance history. See Update or complete a work order.

What blocks this delete

A work order is blocked from deletion when either of these is true:

  • A bill is linked to it. If you try, you’ll see:

    “This work order cannot be deleted because it has N bill(s) linked. You must delete the associated bills first before deleting this work order.”

  • One or more assets are attached to it. If you try, you’ll see:

    “This work order cannot be deleted because it has assets linked. Please remove the assets first.”

What to remove first, in order:

  1. Delete the bill(s) linked to the work order. (A bill that has a payment is itself protected — delete the bill payment first, and the reconciliation before that if the payment was reconciled. See Delete a bill.)
  2. Remove any assets attached to the work order. Open the work order’s Summary and use Remove on each attached asset’s row. See Update or complete a work order.
  3. Once no bill and no assets are linked, delete the work order.

A work order with no linked bill and no attached assets can be deleted right away.

Steps

  1. In the left sidebar, click Work Orders and open the work order to its Summary page.
  2. Open the Action menu (top right) and choose Delete.
  3. In the confirmation pop-up (“Please confirm that you would like to DELETE this record”), click DELETE.

What you’ll see

If nothing is linked, the work order is removed from the Work Orders list and you see a confirmation that it was deleted. If a bill or an asset is still linked, the page stays on the Summary with a red message naming what must be removed first — nothing is deleted until you clear those items.
